Creating a GroupWise Rule to Intercept Unwanted Incoming Email

Creating a rule to monitor incoming email for an objectionable word or phrase in the subject line (example only)

 


In your own email main screen, on the left side, click once on the top most object (the Globe object with your name beside it). Now, click on the "File" menu and select "New" and then "Folder". At the next screen click the "Next" button. 
 

The next screen is where you need to type in the name of your new folder (i.e. "UnWanted Email"). After you type in the folder name, click the "Down" button to move your new folder to the very bottom of the objects list. Click the "Finish" button at the last screen.

 

Click on the "Tools" menu and then on "Rules".


 


At the rules screen, click on the "New" button.  
 

  At the New Rule screen, type in an appropriate rule name (i.e. UnWanted Email).

Be sure the "When Event is" section is set as New Item. Also, be sure there is a check mark in the "Received" check box (in the area labeled "And items are:".

In the next section on this screen labeled "If conditions are (optional)", put a check in the item type for "Mail". Now click on the "Define conditions" button. The next screen shot will show you a sample conditions screen. This ends the conditions, so click OK when you conditions are set.

You will now be back to the New Rule screen. 


 


The last step is to add action in the screen section labeled "Then actions are:" Click on the "Add action" button. In this practice rule exercise, we want the mail that meets our condition to be moved to our new "Unwanted Email folder". So, choose the action of "Move to Folder".
At the next screen, put a check mark in the check box beside your new "UnWanted Email" folder. Click on the "Move" button.
 

This completes the rule creation process, so click Save at the bottom of the current screen. 


You will now be back at the previous rules list screen, and your new rule will be listed. Also, notice that the rule has a check mark beside it to indicate that the rule is active and in force.

If you want to deactivate the rule without actually deleting the rule, just uncheck the rule in this list. Click close on this screen to return to the main GroupWise screen.
